1. Policy Statement

We recognise that cleaning activities can present a range of risks, and we take a proactive approach to identifying, managing, and reducing those risks, which means that our clients can be confident that all work is carried out safely, professionally, and in line with current legislation.

2. Scope
This policy applies to:
• All employees of E & A Cleaning Solutions Ltd
• Temporary and agency staff
• Subcontractors working on behalf of the company
• All client sites and locations where services are delivered

3. Responsibilities
3.1 Company Directors
The Directors are responsible for:
• Ensuring compliance with all relevant health and safety legislation
• Providing appropriate resources, training, and supervision
• Maintaining and reviewing this policy regularly

Which means that health and safety is driven from the top of the business, not treated as an afterthought.

3.2 Employees
All employees are required to:
• Take reasonable care of their own health and safety and that of others
• Follow all training, procedures, and safety instructions
• Use equipment and cleaning materials correctly
• Report hazards, incidents, or near misses immediately

Which means that safety is maintained consistently across every site, not just managed centrally.

3.3 Supervisors / Team Leaders
Where applicable, supervisors are responsible for:
• Ensuring staff follow safe working practices
• Carrying out site checks and basic risk reviews
• Acting as the first point of contact for any safety concerns

4. Risk Assessment
We carry out risk assessments for all cleaning activities, including:
• Use of cleaning chemicals
• Manual handling tasks
• Working at height (where required)
• Use of electrical equipment

Risk assessments are:
• Site-specific where required
• Reviewed regularly
• Updated when processes or environments change

Which means that potential risks are identified and controlled before they become incidents.

5. Safe Systems of Work
We implement clear safe working procedures for all key activities, including:
• Correct use and storage of cleaning chemicals (COSHH awareness)
• Safe manual handling techniques
• Proper use of PPE
• Equipment handling and maintenance

Which means that all staff understand not just what to do, but how to do it safely and consistently.

6. Training & Competence
All staff receive appropriate training, including:
• Induction training before starting work
• Task-specific training for cleaning methods and equipment
• Health and safety awareness, including hazard identification
• Ongoing refresher training where required

Which means that staff are confident and competent in carrying out their duties safely from day one.

7. Personal Protective Equipment (PPE)
We provide appropriate PPE based on the task and environment, including:
• Gloves
• High-visibility clothing (where required)
• Protective footwear (where applicable)

Employees are required to:
• Use PPE as instructed
• Report any damaged or missing equipment

8. Accident & Incident Reporting
All accidents, incidents, and near misses must be reported immediately.
We:
• Record all incidents
• Investigate where necessary
• Implement corrective actions

9. Monitoring & Review
We monitor health and safety performance through:
