Ethical Sourcing Policy

1. Our Commitment
E & A Cleaning Solutions Ltd is committed to conducting all business operations with integrity, honesty, and respect for people and the environment. We believe that responsible sourcing is fundamental to sustainable success. This policy establishes the minimum standards we expect from all our suppliers, contractors, and business partners (collectively, "Suppliers").

We are dedicated to ensuring our supply chain is free from modern slavery, child labor, and environmental harm, and that all partners adhere to applicable laws and internationally recognized standards.

2. Scope and Implementation
This policy applies to all entities that supply goods or services to E & A Cleaning Solutions Ltd.

Suppliers are required to implement systems to ensure their own suppliers and sub-contractors also adhere to these standards.

E & A Cleaning Solutions Ltd reserves the right to audit suppliers (or appoint a third party to do so) to verify compliance with this policy.

3. Labor Standards and Human Rights
Suppliers must comply with all national and local laws, as well as the core conventions of the International Labour Organization (ILO).

3.1. Forced Labor and Human Trafficking
• All work must be voluntary.
• Suppliers shall not use forced, bonded, indentured, or involuntary prison labor.
• Workers must be free to leave their employment after reasonable notice.
• Suppliers must not retain workers' identity documents or require fees for employment.

3.2. Child Labor
• Suppliers must not use child labor. The minimum age for employment shall be the higher of:
o The local minimum legal working age.
o The age for mandatory schooling completion.
o In no event shall employment be offered to persons under the age of 15.

3.3. Health and Safety
• A safe and healthy working environment must be provided to prevent accidents and injury to health arising out of, linked with, or occurring during work.
• Workers must have access to clean facilities, potable water, and appropriate safety equipment.

3.4. Wages and Benefits
• Wages paid for regular working hours, overtime, and benefits must meet, at a minimum, national legal standards or industry benchmark standards, whichever is higher.
• All workers must be provided with understandable information about their wages and benefits.

3.5. Working Hours
• Suppliers must ensure working hours comply with applicable laws and industry standards.
• Overtime must be voluntary and compensated at a premium rate.

3.6. Non-Discrimination and Harassment
• Suppliers shall not engage in or support discrimination in hiring, compensation, promotion, termination, or retirement based on race, caste, national origin, religion, disability, gender, marital status, sexual orientation, union membership, or political affiliation.
• Suppliers must treat all employees with respect and dignity and provide a workplace free from harassment, abuse, or corporal punishment.

3.7. Freedom of Association and Collective Bargaining
• Suppliers must respect the right of all workers to form and join trade unions and to bargain collectively if they so choose, without fear of retaliation or intimidation, as permitted by law.

4. Environmental Responsibility
E & A Cleaning Solutions Ltd is committed to minimizing our environmental impact, and we expect our suppliers to share this commitment.
Legal Compliance: Suppliers must comply with all applicable environmental laws and regulations.
Waste Management: Waste, wastewater, and hazardous materials must be managed responsibly, treated, and disposed of legally.
Resource Efficiency: Suppliers are encouraged to minimize energy consumption, water usage, and the use of harmful chemicals, promoting the use of sustainable alternatives where possible.
Chemical Management: Suppliers must ensure all chemical products and substances meet relevant safety data sheet (SDS) requirements and regulatory approvals (e.g., REACH regulations in the UK/EU).

5. Business Integrity and Ethics
Suppliers must uphold the highest standards of business integrity.
Anti-Bribery and Corruption: Suppliers must comply with all anti-corruption laws, including the UK Bribery Act. No form of bribery, corruption, extortion, or embezzlement is acceptable.
Transparency and Documentation: Suppliers must maintain accurate and complete records of their business activities and supply chains.
Conflict of Interest: Suppliers must disclose any potential conflicts of interest that might compromise their business relationship with E & A Cleaning Solutions Ltd.

6. Monitoring and Continuous Improvement
E & A Cleaning Solutions Ltd will work with suppliers to ensure compliance. We expect suppliers to have management systems in place to review and continuously improve their ethical performance.

Failure to comply with this Ethical Sourcing Policy may result in the review and potential termination of the business relationship with E & A Cleaning Solutions Ltd.
